Connecting Calendly to TrackBee (Lead Tracking)

Send lead events from Calendly bookings to Meta, Google, Pinterest and TikTok through TrackBee.

This guide walks you through connecting Calendly to TrackBee. Once connected, every Calendly booking automatically sends lead events to your ad platforms, so you can track and optimise for leads directly inside Meta, Google, Pinterest and TikTok.


What this integration does

When someone books a meeting through your Calendly link, TrackBee picks up that event and forwards it to your connected ad platforms:

  • Meta — sends a Lead event via the Conversions API

  • Google Ads — creates a new conversion action for leads

  • TikTok — sends a Lead event via the Events API

  • Pinterest — sends a Lead event via the Conversions API

This means you can optimise your ad campaigns for actual bookings rather than just page views or clicks.


Prerequisites

Before you start, make sure you have:

  • A Calendly account (any plan that supports personal access tokens)

  • A TrackBee account with at least one store connected

  • At least one ad platform (Meta, Google, TikTok or Pinterest) already connected in TrackBee


Step 1: Create a Personal Access Token in Calendly

TrackBee needs an API key to receive booking events from Calendly. You create this key inside your Calendly account.

  1. Log in to your Calendly account

  2. Navigate to Integrations & apps

  3. Scroll down and select API & Webhooks

  4. Click Generate new token

  5. Give your token a name (e.g. "TrackBee")

  6. Click Create token

  7. Copy the token immediately and store it somewhere safe. You won't be able to see it again.

Step 2: Connect Calendly in TrackBee

Now head over to TrackBee to link your Calendly account.

  1. Log in to your TrackBee account

  2. Go to Your Stores and select the store you want to connect

  3. Scroll down to the Leads section

  4. Find the Calendly card and click Connect

  5. Paste your Calendly API key into the input field

  6. Click Connect to save

That's it! TrackBee will now automatically register your Calendly bookings as lead events.


Step 3: Verify the connection

After connecting, TrackBee automatically sets up the right events on your ad platforms:

  • Google Ads — a new conversion action for Calendly leads is created in your account

  • Meta, TikTok & Pinterest — Lead events will start appearing once bookings come in

To confirm everything is working, have someone book a test meeting through your Calendly link and check that the lead event shows up in your ad platform's event manager.


FAQ

Do I need to connect each ad platform separately?

No. As long as your ad platforms are already connected in TrackBee, Calendly lead events are automatically forwarded to all of them.

Does this work with Calendly team accounts?

Yes. Just make sure the personal access token is created by someone with the right permissions on your Calendly account.
